AIPG National Executive Committee and Advisory Board Virtual Meetings

The AIPG NATIONAL EXECUTIVE COMMITTEE MEETING will be a hybrid meeting held from 8:00 a.m. to 12 p.m. (Mountain time) on Saturday, October 17, 2020.
Two Advisory Board meetings will be held that afternoon. Some of the AIPG National Executive Committee will be attending the meetings at the AIPG National Headquarters office building conference room in Westminster, Colorado but due to social distancing, we are unable to have anyone else attend in person. The meetings will be held virtually via Webex.
FIRST ADVISORY BOARD MEETING: SECTION REPORTS
The first meeting, of the 2020 Advisory Board with representatives of all Sections in attendance will be
held from 1:00 pm to 2:45 pm (Mountain time) on Saturday, October 17, 2020. The meeting will be chaired by the
2020 President-Elect, Nancy Wolverson. Each Section should be represented at this meeting by the
current Section President. In the event that the Section President cannot attend the Annual meeting, then
the Section President should designate, in writing, one Delegate to speak and vote on behalf of the
AIPG Headquarters should receive Section reports no later than October 3, 2020. The
Section report should consist of a one- or two-page summary of your Section’s activities and
identification of the individual who will be the official Section Delegate to the meeting. A
standardized form for use in preparing your report is provided via email (Attachment A).
Your section report will be augmented by open discussion.
SECOND ADVISORY MEETING: DELEGATE NOMINATIONS/ELECTIONS
The second Advisory Board meeting is primarily for the election of the 2021 Advisory Board Delegates
to the National Executive Committee. Elections of the four incoming Advisory Board representatives
will occur during the virtual meeting on Saturday, October 17 from 2:45 pm to 4:00 pm (Mountain time). This
meeting will be chaired by the President-Elect 2021, Matt Rhoades. Each Section should be represented
at this meeting by the current Section President, or designee.
In the event that the Section President cannot attend the Fall Meeting, the Section President must
designate, in writing, one Delegate to speak and vote on behalf of the Section. This is most important for
the 2020 Advisory Board Meeting which requires your Section’s vote for four Advisory Board
Representatives to serve on the 2021 Executive Committee. Only official Section nominees (one from
each Section) are eligible as candidates to the Advisory Board and must be present to be elected.
The Section Delegates will have the opportunity to nominate candidates from the floor for these four
Advisory Board Representative positions to the 2021 Executive Committee. (A Delegate, as official

Section representative, may nominate himself or herself. A Delegate may also be the official nominee of
his respective Section.)
Each nominee present will make a brief statement about why he or she wishes to serve on the 2021
Executive Committee. Please note that in your consideration of potential candidates, and in accordance
with AIPG Bylaws, a Section’s representative may not be elected as a representative to the Executive
Committee for more than two consecutive years. In addition, Advisory Board Representatives, when
elected, must be Members of Sections other than those of which incoming or continuing Institute officers
are Members. [This latter requirement precludes the following Sections from having an Advisory Board
Representative on the Executive Committee in 2021: Illinois/Indiana, Michigan, Missouri, Nevada,
Tennessee, and Wisconsin.]
Nomination of your Section Delegate as a candidate for Advisory Board Representative to the 2021
Executive Committee can be accomplished using the standardized form provided via email (Attachment B).
This form must be received by AIPG Headquarters no later than October 3rd and will be subsequently
distributed to Members of the Advisory Board during the Annual Meeting.
Should you be nominated as an Advisory Board Representative, you will be required to participate in the
2021 Executive Committee meetings. These meetings are typically held on a Saturday. The first
meeting in Jan/Feb 2021 (date and location TBD); in May/June (date and location TBD); and during the
2021 Annual Meeting to be held in Sacramento, California, on October 23, 2021. Routine
communications and electronic voting are typically conducted via e-mail. In addition, Advisory Board
Representatives will each be required to prepare a summary of significant actions for publication in The
Professional Geologist (TPG).
AIPG reimburses limited expenses for airfare, ground transportation, and hotel rooms, if necessary, for
Executive Committee Members to attend the three Executive Committee meetings held during their term
of service. However, Members of the Executive Committee including the Advisory Board
Representatives are expected to cover their own expenses for meals, extra expenses of the Annual
Meeting, and all other expenses (i.e., meeting registration, field trips, banquet, etc.) that are not directly
part of the Executive Committee function. All Executive Committee Members, or their respective
sections, are asked to personally fund as many of their expenses as they can.
